For gyms

Your schedule, your members and your money in one portal

The studio portal is the workplace for your gym, and the app your members already carry is their membership pass straight away. With a boundary around their personal data that sits in the database, not in the screen.

The boundary

What does your gym team see of a member?

The administration, never the personal. In the same app your members keep their nutrition, their measurements and their check-ins. Your team does not reach any of that, not even when that member is also the client of a coach.

Your team sees the administration

  • Name and email address
  • Member number and phone
  • Year of birth
  • Bookings and visits
  • Membership and invoices

And never the personal side

  • The food diary
  • Measurements and weight
  • Progress photos
  • The chat with a coach
  • Medical data

The server guards this, not only the screen: a role that may not have something does not get it either when the request comes from outside the screen.

  • A trainer sees the numbers for their own classes, never the names
  • On a season plan you see counts from five members up; below that it reads "fewer than 5"
  • The QR pass is not a key: it only records that someone was there
  • Athverge too looks only at the administration, read-only, and every card opened lands in a log

The portal

What is in the studio portal?

Seven entrances, not a maze of modules. Every screen sits under the seven questions you ask in the morning. On a phone you see the four workplaces that belong to your role, and the rest under More.

Today

Open your day and see at a glance what cannot wait. The next class at the top, below it whatever needs attention.

  • The next class with its time, occupancy and waiting list, and one button: open the participants
  • Member requests, leads to call and payment arrears on one list
  • Quiet members, and classes still looking for a stand-in
  • Tasks with an owner, a status and a follow-up date
  • Leads and requests carry "I am picking this up", with the contact history beside it
  • Your team gets at most one push notification a day, without details

Schedule

You do not plan weeks by hand. You set a recurring slot and the schedule fills itself ahead.

  • "Yoga, every Thursday 19:00, studio 1" is the recurrence rule; the portal creates the individual classes
  • You set how far ahead yourself, and the screen says up to which date the schedule is ready
  • Changing a class applies to this class only or to this and later ones, with a preview first
  • Cancel a class and every participant is notified and gets their credit back
  • Personal training with availability per trainer
  • Double bookings are flagged; a stand-in is requested by the trainer and assigned by management

Members

You start with the members you already have, including the ones who do not have the app yet.

  • Add a member without the app: they sit in the administration and get a link code for later
  • If they connect an account later, their member number, credits and bookings stay theirs
  • Read in your member file from a CSV, with column recognition and a preview before you import
  • Choose per row whether someone becomes an active or a former member, so cancelled members do not raise your tier
  • A member card with six tabs: overview, bookings, membership, payments, contact and family, details
  • Quiet members: anyone who has not come for a number of weeks you set, so you call before someone cancels

Front desk

A full-screen workplace, ideally on a tablet beside the door.

  • The classes of today, with whatever is running now at the top; opening a class gives the participant list
  • Check in with one tap, mark a no-show, move someone up from the waiting list, book a walk-in
  • Every member has a revocable QR pass; you scan with a handheld scanner or type the member number
  • Kiosk mode: the tablet shows only the code field, the member search disappears
  • The till of today: record a one-off sale or an outstanding amount
  • Your whole team can check members in, even without further permissions

Money

Your own revenue, your own invoice numbers, your own VAT. Athverge never moves money.

  • You connect your own Stripe account; your members pay on your payment page, never as an in-app purchase
  • Memberships, credit cards, single classes, personal training and courses
  • A contract per membership: minimum term, notice period, what happens afterwards, whether pausing is allowed
  • Access rules in plain sentences: "Your member may do kickboxing twice a week"
  • A dry run before you save: how many members does this rule touch, and how many classes fall outside it
  • Arrears with a limit: from which amount a member can no longer book

Reporting

Four questions about one period, with a CSV underneath.

  • How full your classes were, per day, class type and studio
  • What came in, per product type, split between online and the front desk
  • Who did not turn up
  • VAT per quarter, per rate
  • A schedule manager without money rights does not see the amounts

Admin

Your team, your locations and your house rules. Settings are questions in plain language, not number fields.

  • Four roles the database guards: owner, manager, front desk and trainer
  • Invite your team with a one-time code, with a "who may do what" table beside it
  • Locations and studios with opening hours, closing days and capacity
  • Your brand name and your accent colour; the app your members use picks that colour up
  • Your terms with a version and a date; on a new version a member accepts again
  • You sign the data processing agreement in the portal, with the list of parties Athverge engages

For your members

What do your members see in the app?

My gym, in the app they already have. Your members do not have to install a second app and pay Athverge nothing. My gym sits in the ordinary Athverge app, and Athverge Pro is not needed for it.

Before the button it says whether they can book

And if not, why: not in your membership, another location, the visits for this week used up, outside the age range, year of birth needed, an outstanding amount or new terms. Whether cancelling is still free of charge is stated up front too.

A waiting list that moves up by itself

If someone cancels, the first in line moves up and is notified. Anyone who no longer has access is skipped. If a place comes free just before the class, you can turn that into an offer: whoever confirms first goes.

Checking in with their own code

A member number, a personal code and a personal QR code for the front desk or the kiosk. Creating a new code revokes the old one, and the member number and personal code work without internet too.

A parent arranges it for their child

The front desk starts the link, the parent confirms in the app. After that they book and cancel on behalf of their child, and they give the consents: participation, use of images, medical contact in an accident and transport, each stored with its date and revocable at any moment.

A page that brings in trial classes

One web page per gym without a login: your schedule with the free places, the age range per class, the trainer and your trial class. You decide whether someone books a place straight away or makes a request first, and how many trial places there are per class. A request arrives as a lead in your portal, on the same list where your front desk notes its own leads. Nothing is public by default: you turn the page on yourself, and see a preview of what the internet gets to see first.

Subscription

What does Athverge cost a gym?

Your tier moves with your member count, by itself. You pay Athverge per month or per year, by the number of active members. There are five tiers: up to 50, 51 to 150, 151 to 400, 401 to 1000, and 1001 members and up. Invited, paused and ended members do not count, we measure at the start of each month, and never retroactively.

  • Growth is never blocked: your front desk can always sign a member up
  • Your members pay you, not Athverge, and do not need Athverge Pro
  • The public studio page is included in the subscription

The rates are not fixed yet. Get in touch and we will tell you what we do know.

Honest up front

What can the studio portal not do yet?

The portal is built and machine-tested, but no real owner has walked through it yet. You would rather hear this now than after the switch.

  • Athverge records, it does not settle: no card terminal and no cash drawer
  • The QR pass opens no door, and scanning with a tablet camera does not exist
  • There is no separate app or own logo per gym; your brand name and your colour, yes
  • No staff rota and no hour tracking, only trainer planning per class
  • Email to members only covers their classes and their payments, never a newsletter
  • Running direct debits from your previous package do not come along
  • Season plans and the competition calendar are a pilot we switch on per gym
  • No gym works with it for real yet; we are looking for the first
  • The app for your members is not on Google Play yet; the Android launch is in preparation

How do you start with Athverge at your gym?

  1. You get in touch and tell us what kind of gym you run and how many members you have.
  2. We create your studio; there is no self-signup and that stays that way.
  3. You set it up yourself with a five-step wizard, and then read in your member file from a CSV.

You sign the data processing agreement before you import. Every step of the wizard is saved right away, and as long as steps are outstanding the setup helper stays on Today.
